How to Navigate the Patient File

Here's a guide showing what lives within the Patient File & how you can utilize it.


Within the Patient File there are eight tabs. This allows for easy access and management of the patient's information. There are also a few important icons to be aware of within the Patient File.

Appointments tab


All your patient's past and future appointments can be viewed within the Appointments tab of their Patient File. You will be able to see what type of service was booked, if the patient is using insurance or is self-pay, as well as begin the SOAP note. Charts can be exported and saved as PDF documents on your computer. First, if the chart is unsigned, you will need to close and sign it.
Once a chart is closed, select View Chart. Click the Print button and you'll be able to save the chart as a .pdf.

Clicking the Manage My Appointment link open the appointment details pop-up in the calendar within a new tab.

Clicking anywhere in the white area of the appointment line will bring you to the Billing Info page for that Date of Service.

Billing tab


A record of the patient's Visits, Purchases, Payments, and a Summary is available in the Billing tab. You will also be able to add to the patient's credit here by clicking on the Add to Patient Credit button.

Forms tab


Within in the Forms tab, clinics will be able to view all forms that have been assigned to their patients. If the form titles are in red or have a red circle next to them, the patient has not filled out the form. If the form titles are in green or have a green circle next to them, the patient has filled out the form.

Insurance tab


Within the Insurance tab, the following information can be entered or edited:

Insurance Plan - This drop-down will populate from the insurance company list located under clinic setting. The Payer ID will display on your claim form.

Eligibility - You can enter all eligibility / benefits in this section.

Insured Person - If the insured person is someone other than the patient you can enter it here.

Authorization - Authorization number and details can be collected here.


Personal tab


Clicking the Edit icon will allow you to make changes to the patient's personal information. Once you have changed any information, be sure to click Save at the bottom of the page.

Messages tab


Email and SMS messages sent to your patient can be tracked within the Patient File > Messages tab. You will be able to view the Send Date, Email Type, Receiver, Appointment Date, Email/SMS, Delivered On, Status, and Reason for each message sent to your patient.

Medical tab


Clicking the Edit icon will allow you to make changes to the patient's medical information. Once you have changed any information, be sure to click Save at the bottom of the page.

Files tab


Clinics will be able to upload external records into the Files tab of the Patient File. The maximum file that can be uploaded is 10MG. Once the file has been uploaded, clinics will be able to view, download, and remove the file.

Red Flag, Patient ID, and Patient File ...

Patient File Red Flag ID ...


The Red Flag section of the Patient File can be used for clinic facing patient information. Your patient will never see what is entered here. This section can be used to keep track of needle sensitivity, packages, pet's names, patient complaints, etc.

The Patient ID number is specific to Unified Practice & cannot be changed. If you have any questions on a specific patient, we ask that you provide the Patient ID number instead of the patient's name. This allows everyone to stay HIPAA compliant.

Clicking on thePatient File ...icon will display options to: Print the Patient File, Archive the Patient File, and initiate a Product Sale for the Patient.
